IT Budget Estimator

Build a practical annual technology budget using your own staffing, licensing, support, backup, hardware-lifecycle and project assumptions. This is a planning model—not an Edge Secure quote or a claim about what every business should spend.

How accuracy works: Every major cost assumption is visible and editable. Microsoft 365 defaults use current U.S. annual-commitment list pricing for Business Basic ($7), Standard ($14), and Premium ($22) per user/month as of September 2026. Taxes, promotions, partner pricing, add-ons and future price changes are not included.

Model limits are planning guardrails, not recommended spending: up to 10,000 users, 20,000 computers, 1,000 locations, and 10,000 servers; $10,000 per user/month per allowance, $100,000 per computer, and $1 million per infrastructure unit. Lifecycles span 3 months to 30 years; shorter-lived purchases should be treated as expenses. Annual totals are limited to $1 billion because larger portfolios need a detailed line-item model. Project reserves may exceed 100%; their maximum follows the annual-dollar ceiling, not a fixed percentage cap.

3. Lifecycle assumptions

Important: This estimator is for internal planning only. It excludes many items that may apply to a specific organization, including taxes, telecom, line-of-business applications, cloud infrastructure, cyber-insurance premiums, major one-time transformations, compliance/audit fees and unusual hardware. The output is only as accurate as the assumptions entered.
