How Your Business Actually Works

Technology Is Part of Every Escrow Transaction

An escrow operation's workday is built around transaction milestones from the moment a new file opens. Officers receive and review documents, coordinate with lenders, agents, title companies, and banking institutions, prepare closing packages, manage signing appointments, and process disbursements — all while multiple transactions are active simultaneously. When email is unavailable, when an escrow application is unreachable, when identity services fail, or when documents cannot be accessed, those problems do not stay inside the technology department. They become transaction problems.

Opening new transaction files and tracking active closings
Receiving and reviewing earnest money, payoff, and lender documents
Email communication with buyers, sellers, agents, lenders, and title companies
Coordinating wire instructions with banking institutions and lender portals
Electronic document preparation, review, and e-signature workflows
Managing signing appointments and closing coordination
Disbursement processing and confirmation of funding completion
File archiving, record retention, and post-closing follow-up

The Business Reality

Technology and security problems escrow companies recognize immediately

Escrow organizations are targeted because they sit at the intersection of trusted communications, significant funds movement, and multiple external parties with varying security postures. Technology problems in this environment can become transaction problems quickly.

01

Fraudulent instructions can look legitimate

Transaction communications can be observed by attackers who have compromised any participant's account. Once an attacker understands the timing, relationships, language, and expected activity within a transaction, they can introduce fraudulent instructions that are difficult to distinguish from legitimate ones. Familiarity is what makes the communication effective.

02

One compromised identity can expose multiple transactions

A compromised email account belonging to an escrow officer, lender, agent, or other transaction participant provides ongoing visibility into active files and relationships. That access can be used to impersonate the account holder across multiple simultaneous transactions with no immediate indication to any party that communications are fraudulent.

03

Sensitive information moves across multiple systems

Escrow operations handle personal identification, financial account information, purchase and loan details, and non-public transaction data across email, escrow software, document platforms, cloud storage, workstations, and portable devices throughout each transaction. Each system and transmission represents a potential exposure point without appropriate security controls in place.

04

Employee access changes need to happen consistently

Every new hire, role change, and departure affects email accounts, escrow application access, shared credentials, document repositories, remote access configurations, and administrative accounts. Without a consistent, documented process, access changes may be delayed, missed, or incomplete — leaving accounts or permissions active after they should have been removed.

05

A technology outage can disrupt funding and closing operations

When email systems, escrow applications, banking portals, document platforms, or identity services are unavailable during a closing or funding window, the consequences can extend well beyond temporary inconvenience. Funding delays, rescheduled closings, additional costs, and client experience damage can follow quickly. The ability to recover depends on preparation before the outage occurs.

06

Your backup says successful — but can the operation actually recover?

A successful backup status report confirms the backup job ran. It does not confirm that transaction records and operational data are actually recoverable, that recovery procedures are documented, that system dependencies are identified, or that the operation could resume within an acceptable timeframe following ransomware, hardware failure, or data loss. Restore validation and documented recovery planning address what status reports alone cannot.

Operational Resilience

Backup, Disaster Recovery & Business Continuity

An escrow operation depends on continuous access to transaction records, communications systems, and critical applications. Edge Secure structures its backup, recovery, and continuity work in three connected layers, each addressing a different aspect of operational resilience.

Backups protect the data — Disaster Recovery restores the technology — Business Continuity keeps the business operating.

01

Backup

Backup preserves transaction records, business files, Microsoft 365 data, and critical operational data so recovery from data loss, ransomware, hardware failure, or accidental deletion remains possible.

  • Transaction records and escrow-related documents
  • Microsoft 365 email, SharePoint, and OneDrive
  • Business files and critical operational data
  • Server and workload backup where applicable
  • SaaS application backup where vendor capabilities and access permit
  • Encrypted backup copies with appropriate access controls
  • Backup monitoring and alert response
  • Appropriate immutable or ransomware-resistant copies
  • Periodic restore validation to confirm actual recoverability
02

Disaster Recovery

Disaster Recovery planning addresses how critical technology systems are restored after a significant disruption, with identified priorities, documented procedures, and appropriate recovery objectives based on business requirements and service plan.

  • Critical system identification and dependency mapping
  • Recovery priority documentation
  • Microsoft 365 and identity system recovery planning
  • Escrow application and document access dependencies
  • Network and communications infrastructure recovery
  • Documented recovery procedures for applicable systems
  • Appropriate RTO and RPO based on requirements and service plan
  • Periodic restore validation

Industry-Specific Risk

How Attackers Target Escrow Operations

Business Email Compromise

Attackers may compromise a legitimate email account belonging to an escrow officer, transaction participant, or connected party, then monitor ongoing transaction communications before attempting impersonation or fraud. The period of observation allows an attacker to understand relationships, language, expected timing, and the context needed to make fraudulent communications appear credible.

Wire Instruction Manipulation

Attackers who have access to transaction communications may attempt to introduce or alter payment-related instructions at carefully chosen moments during the transaction lifecycle. Because these attempts occur within established email threads or from accounts that appear legitimate, they can be difficult to identify without independent verification procedures that operate separately from email.

Credential and Session Compromise

Phishing campaigns, credential harvesting, and session hijacking techniques can result in unauthorized access to email accounts, Microsoft 365 environments, or other systems used in escrow operations. Compromised credentials may be used immediately or held for later use, and may not produce visible alerts without appropriate identity monitoring and MFA controls in place.

Third-Party or Transaction-Participant Compromise

The escrow organization's own technology environment may not be the original source of a compromise. Buyers, sellers, real estate professionals, lenders, vendors, or other transaction participants can be targeted, and a compromise at any connected party may introduce fraudulent communications into the transaction. An email originating from a legitimate account is not, by itself, proof that a request or instruction is legitimate. Organizations should apply independent verification procedures that do not rely solely on email communication.

Regulatory Considerations

Compliance and Contractual Considerations

Escrow organizations may face technology, security, documentation, and privacy requirements from multiple sources. Requirements vary by jurisdiction, organization, transaction type, and specific circumstances.

ALTA Best Practices

Title and settlement organizations may use American Land Title Association Best Practices as a framework to support operational, escrow-account, privacy, information-security, and related practices. Edge Secure can help implement and document applicable technology and cybersecurity controls that support an organization's broader Best Practices program. Edge Secure does not certify ALTA compliance, make an organization ALTA compliant, act as an ALTA auditor, or provide legal interpretation of ALTA requirements.

State Privacy Requirements

Organizations handling personal, financial, and sensitive transaction information may have privacy obligations under applicable state privacy laws depending on jurisdiction, data type, and volume processed. Applicable obligations vary by organization and circumstances. Legal review is necessary to determine specific requirements.

Cyber Insurance

Cyber insurance applications or policies may request or inquire about the security controls an organization has in place. Requirements vary by carrier, policy, organization, and circumstances. Edge Secure can implement and document applicable technical controls it manages. Edge Secure does not determine insurance coverage, guarantee underwriting approval, or guarantee claim eligibility.

Lender, Underwriter & Contractual Requirements

Cybersecurity, documentation, privacy, or operational requirements may also arise from business relationships with lenders, underwriters, transaction participants, or contractual partners. Applicable requirements vary by relationship and agreement. Organizations should review their specific obligations with qualified legal and compliance professionals.

Wire Fraud Risk Management

Wire fraud risk management in an escrow context involves both organizational verification procedures and the technology controls that support secure communications and identities. Edge Secure manages applicable technology-layer controls including account security, email authentication, MFA enforcement, anti-impersonation controls, security event monitoring, and documented incident response procedures. These controls support the security of the technology environment surrounding wire-related communications. They do not replace the organization's independent verification procedures for authorizing and approving wire transfers. Edge Secure does not approve or validate financial transactions.

This section provides general technology and cybersecurity information only and does not constitute legal, financial, insurance, accounting, escrow, or compliance advice. Organizations should consult qualified professionals regarding their specific obligations.

Technology Environment

Technology Your Escrow Operation Depends On

Escrow organizations depend on specialized transaction applications alongside Microsoft 365, document systems, banking-related technology, endpoints, and network infrastructure. Edge Secure supports the surrounding technology environment and takes a best-effort approach to learning and supporting the applications each organization depends on. When specialized application assistance is required, Edge Secure coordinates directly with the software vendor rather than leaving your team to manage troubleshooting between providers.
