How Your Business Actually Works

Technology Is Part of Every Client Relationship

From a first prospect inquiry through quoting, applications, carrier submission, policy issuance, service requests, and renewal, insurance agency operations run across agency-management systems, carrier portals, CRM, quoting platforms, Microsoft 365, email, document systems, and cloud applications simultaneously. Agents and account managers move between these systems throughout the day — and the agency may depend on technology operated by multiple carriers, vendors, and outside providers it does not directly control. A carrier portal outage, agency-management system problem, email disruption, or identity issue can look similar on the surface while originating from entirely different technology layers. Client information does not live in one place. Depending on the agency's workflow, sensitive client information may exist across email, agency-management systems, carrier portals, CRM, documents, electronic-signature platforms, client portals, and cloud storage. Protecting that information requires understanding where it lives, who has access, which vendors are involved, and what the agency would do if a key system became unavailable. When technology fails anywhere in that chain, the impact can reach agents, client service, carrier access, documents, communications, and revenue-producing activity. Edge Secure manages the IT, cybersecurity, and supporting technology environment behind those workflows — and coordinates with the appropriate provider when specialized assistance is required. You call Edge Secure first. The agency should not have to determine whether a problem belongs to the computer, network, carrier portal, Microsoft 365, or software vendor before asking for help.

The Business Reality

Technology Problems Insurance Agencies Recognize Immediately

Agency principals, office managers, and producers should not be diagnosing whether a problem belongs to a workstation, network, carrier portal, Microsoft 365, or software vendor before asking for help. Edge Secure manages the surrounding technology environment and coordinates with the appropriate provider when specialized assistance is required.

01

An Agent Cannot Access the Systems Needed to Serve a Client

Loss of access to email, an agency-management system, carrier portal, CRM, client documents, quoting platform, or Microsoft 365 can disrupt client service and agent productivity — regardless of whether the problem originates from a workstation, browser, network, identity issue, Microsoft 365, security configuration, or the vendor's own platform. Edge Secure helps determine where the issue appears to originate and coordinates with the appropriate provider when necessary.

02

One Compromised Account Can Expose Multiple Client Relationships

Compromised email, Microsoft 365, CRM, or other credentials may expose client communications, documents, contacts, business information, connected applications, and other sensitive information. Applicable controls include MFA on supported accounts, identity monitoring, email security, endpoint security, appropriate access controls, and prompt offboarding. MFA reduces but does not eliminate account compromise risk.

03

Carrier Portals Are Critical — But You Don't Control Them

Agencies may depend heavily on carrier-controlled technology for quoting, applications, and policy servicing. A carrier portal outage, authentication issue, browser problem, identity problem, local connectivity issue, or vendor-side incident can all look identical to an agent trying to get work done. Edge Secure helps identify the likely technology layer involved and coordinates with the appropriate provider. Edge Secure does not control carrier systems or carrier uptime.

04

Remote Agents Need Secure, Reliable Access

Producers and staff may work from the agency office, home, client locations, or while traveling. Secure remote work may depend on managed devices, identity, MFA, Microsoft 365, cloud applications, endpoint security, and reliable connectivity. Unmanaged personal devices, shared credentials, or uncontrolled connections may introduce risk that the agency cannot see or address without consistent device and identity management.

05

Agent or Producer Departures Can Leave Access Behind

Departing agents or staff may retain access to email, agency applications, CRM, shared documents, carrier portals, cloud applications, remote access, and company devices if offboarding is incomplete. A consistent process should address accounts, devices, sessions, application access, remote access, and documentation. Where Edge Secure does not directly control a carrier or vendor account, it coordinates the removal process with the agency and appropriate provider.

06

Your Backup Says Successful — But Can the Agency Actually Recover?

Successful backup notifications alone do not demonstrate that Microsoft 365 can be restored, business and client files can be recovered, applicable agency data is protected, SaaS data is independently recoverable, critical vendor dependencies are understood, recovery procedures are documented, or the agency can continue client-serving operations during recovery. Restore validation, recovery priorities, SaaS dependency documentation, disaster recovery, and business continuity planning address the gap between a backup status indicator and actual recoverability.

What Edge Secure Handles

What Edge Secure Takes Off Your Plate

Agency owners, producers, account managers, and staff should not have to troubleshoot Microsoft 365, determine why a carrier portal will not load, manage former-employee access, wonder whether backups can actually be restored, or spend hours coordinating between multiple technology vendors. Edge Secure manages the technology environment supporting the agency.

Why Edge Secure

IT & Cybersecurity for Agency Operations

Insurance agencies may depend on technology controlled by the agency, Microsoft, agency-management vendors, CRM providers, quoting platforms, insurance carriers, electronic-signature providers, and other SaaS vendors simultaneously. When something stops working, the employee should not need to determine which company owns the problem before requesting help. Edge Secure first investigates the surrounding technology environment — workstation, browser, operating system, network, internet, identity, Microsoft 365, security configuration, application access, integration, and vendor service — and coordinates with the appropriate carrier or software provider when specialized assistance is required. You call Edge Secure first.

01

IT That Understands Agency Operations

Insurance agencies depend on technology throughout prospecting, quoting, applications, carrier access, client communication, documents, policy servicing, renewals, and business operations. Edge Secure manages IT with those workflows in mind — not just device uptime.

02

Security Built Into IT

MFA on supported accounts, identity monitoring, email protection, endpoint security, patch management, vulnerability management, secure remote access, and user lifecycle management are incorporated into the managed service — not treated as separate products. These controls are designed to help protect client and agency information across the systems agents use every day.

03

We Work With the Applications Your Agency Depends On

Edge Secure does not require the agency to replace its business applications simply because they are unfamiliar to the MSP. Edge Secure takes a best-effort approach to learning and supporting the applications the agency already depends on — agency-management systems, carrier portals, CRM, quoting platforms, electronic signatures, and others. We support the technology around the application and coordinate directly with the vendor when the issue belongs inside the application.

04

Controls & Documentation You Can Use

Edge Secure can maintain documentation of applicable technical controls it manages — user and account inventory, managed-device inventory, MFA status on supported accounts, endpoint-security coverage, email-security configuration, vulnerability and patch status, backup status, restore-validation results, recovery procedures, remote-access controls, and applicable vendor and dependency documentation. This documentation may support internal governance, cyber insurance, carrier or vendor security questionnaires, client requirements, contractual requirements, and other business reviews. Technical documentation does not automatically prove regulatory or contractual compliance.

Client & Agency Technology

Protecting the Technology Behind the Client Relationship

Insurance agencies rely on multiple connected systems to communicate with clients, access carrier resources, manage prospects and policies, exchange documents, obtain signatures, service accounts, and support renewals. Protecting client information and maintaining availability requires managing the broader technology environment — not just a single insurance application.

Email & Identity Security

  • Email and identity may provide access to client communications, documents, contacts, Microsoft 365, CRM, agency applications, cloud resources, and other connected systems
  • A compromised email account or credential may expose information across multiple platforms simultaneously — not just the one application directly compromised
  • Applicable controls may include MFA on supported accounts, SPF, DKIM, DMARC, phishing and BEC-focused controls, identity monitoring, administrative-account protection, endpoint security, and appropriate access controls
  • These controls help reduce phishing, impersonation, spoofing, and account-compromise risk — prevention of all attacks cannot be guaranteed

Carrier Access & External Technology

  • Insurance agencies may depend heavily on carrier-controlled systems for quoting, applications, policy information, client service, documents, and other carrier workflows
  • The agency does not control the carrier's infrastructure
  • When a carrier system appears unavailable, Edge Secure can help determine whether the issue appears related to the local workstation, browser, network, internet, identity or authentication, security configuration, or the carrier's platform
  • When the issue is provider-side, Edge Secure can coordinate escalation with the carrier or appropriate vendor
  • Edge Secure cannot restore carrier infrastructure or control carrier uptime

Know Where Client Information Lives

  • Client information may exist across email, agency-management systems, CRM, carrier portals, documents, electronic-signature platforms, Microsoft 365, file storage, agent devices, and cloud applications — not just within a single system
  • Important questions include where information is stored, who has access, which vendors control it, which systems are connected, how access is removed when staff depart, what can be independently backed up, and how critical information or access would be recovered
  • Understanding information locations and access relationships informs access management, offboarding, backup, and recovery planning

Secure Access Beyond the Agency Office

  • Producers and staff may work from home, client locations, while traveling, or other authorized locations
  • Relevant technology may include managed laptops, identity controls, MFA, Microsoft 365, agency applications, carrier portals, CRM, cloud documents, endpoint security, secure remote access, and reliable connectivity
  • Remote access should be designed around the agency's actual applications, data locations, security requirements, and workflows
  • No universal remote-access architecture applies to every agency

Agency Applications & SaaS Dependencies

  • Agencies may depend on external providers for agency management, CRM, quoting and rating, electronic signatures, documents, client portals, Microsoft 365, cloud storage, and other SaaS applications
  • A vendor outage or security event may affect agency operations even when local computers and networks are functioning normally
  • Edge Secure can help inventory critical providers, document dependencies, maintain escalation contacts, review applicable access relationships, review available backup and export options, and incorporate vendor dependencies into recovery planning
  • Edge Secure does not control vendor infrastructure or vendor availability

Cloud Application Availability Is Not Independent Backup

  • A SaaS provider may maintain its own availability, redundancy, retention, and recovery capabilities — those capabilities are not automatically equivalent to an independent backup controlled by the agency
  • Edge Secure can evaluate vendor capabilities, APIs, data-access methods, export options, retention, recovery options, and third-party backup support
  • Where technically supported and permitted, applicable SaaS data can be considered for the broader backup strategy
  • Not every insurance-agency application or carrier platform supports independent backup by a third party

This section describes general technology and cybersecurity considerations only and does not constitute legal, regulatory, insurance, or compliance advice. Requirements vary by agency, state, lines of business, carrier relationships, and circumstances.

Operational Resilience

Backup, Disaster Recovery & Business Continuity

Agency availability is not a single-layer problem. Managed devices, Microsoft 365, agency applications, carrier portals, SaaS vendors, and internet connectivity each represent a separate availability dependency — and a disruption to one does not automatically affect the others.

Backups protect the data — Disaster Recovery restores the technology — Business Continuity keeps the business operating.

01

01 — Backup

Backup protects data. A successful backup notification alone does not confirm that data can actually be recovered — restore validation is a required step. SaaS backup depends on vendor capabilities, APIs, and data-access permissions. Not every agency-management platform, carrier portal, CRM, quoting platform, electronic-signature system, or insurance SaaS service supports independent backup by a third party.

  • Microsoft 365 backup
  • Business and client-file backup
  • File server and applicable server and workload backup
  • Applicable workstation data backup
  • SaaS application data where vendor capabilities and access permit
  • Encryption and appropriate retention
  • Backup monitoring and failure alerting
  • Immutable and ransomware-resistant copies where appropriate
  • Restore validation to confirm actual recoverability
  • Access controls on backup data
02

02 — Disaster Recovery

Disaster Recovery addresses restoration of critical technology following significant disruption. Not every outage involves the same failure domain — one producer's laptop failing may affect that user only, while Microsoft 365 or identity becoming unavailable may affect communications and access across the agency. For carrier- and vendor-controlled platforms, recovery may involve restoring the agency's device, identity, connectivity, authentication, or local dependencies, and coordinating directly with the provider. No universal recovery time applies.

  • Critical-system identification and recovery-priority documentation
  • Recovery priorities aligned with agency-identified business-critical workflows
  • Dependency mapping — agency applications, carrier portals, CRM, Microsoft 365, cloud providers, internet
  • Documented recovery procedures and restore validation
  • Vendor-dependency documentation and escalation contacts
  • Appropriate RTO and RPO targets based on business requirements and service plan
  • Recovery procedure updates as the agency environment changes
03

03 — Business Continuity

Business Continuity addresses how critical agency operations continue while technology recovery occurs. Recovery priorities should reflect what the agency actually needs to continue serving clients — identity, email, client communications, agency applications, and carrier access may take priority over a marketing system or noncritical application. The agency determines its business priorities — Edge Secure translates those priorities into applicable technology recovery planning and helps develop and maintain the technology and recovery components supporting the agency's broader business continuity planning.

  • Critical client-service operations identification
  • Minimum technology requirements for continued agency operations
  • Communication alternatives during outage or disruption
  • Vendor and carrier dependency documentation
  • Remote-work capabilities and alternative procedures
  • Recovery priority alignment with agency-identified business-critical functions
  • Coordination between Business Continuity and Disaster Recovery procedures
  • Relevant disruption scenarios: Microsoft 365, email, agency applications, carrier portals, internet, cybersecurity incident, office inaccessibility, agent devices, SaaS or vendor outage, personnel availability

Industry-Specific Risk

How Cybersecurity Threats Affect Insurance Agencies

Business Email Compromise & Impersonation

Attackers may compromise or impersonate agency owners, producers, account managers, staff, clients, carriers, vendors, or other trusted contacts. A compromised legitimate email account may expose context involving client relationships, policies, documents, business processes, contacts, financial communications, and ongoing requests — allowing attackers to make fraudulent communications appear more credible. Applicable technical controls may include MFA on supported accounts, identity monitoring, SPF, DKIM, DMARC, phishing and BEC-focused controls, appropriate impersonation defenses, endpoint security, and security monitoring. These controls help reduce phishing, impersonation, spoofing, and account-compromise risk — prevention of all attacks cannot be guaranteed.

Credential & Session Compromise

Compromised credentials or sessions may provide unauthorized access to Microsoft 365, email, CRM, agency applications, client information, documents, cloud applications, and other connected resources. MFA reduces but does not eliminate account-compromise risk. Applicable controls may include MFA on supported accounts, identity monitoring, administrative-account protection, session and access review, endpoint security, appropriate access controls, and prompt offboarding when agents or staff depart.

Ransomware & Agency Operations

Ransomware or endpoint compromise may affect agent workstations, staff computers, file storage, Microsoft 365, client and business documents, shared resources, and supporting infrastructure. Operational effects may include loss of client communication, reduced carrier access, document-access problems, agent and staff downtime, client-service disruption, and recovery effort. Relevant controls include endpoint security, patch management, vulnerability management, identity security, network security, backup with immutable and ransomware-resistant copies where appropriate, restore validation, and disaster recovery planning. Backup alone does not prevent ransomware.

Lost or Compromised Agent Devices

Laptops or supported mobile devices may provide access to email, client information, CRM, agency applications, carrier portals, documents, Microsoft 365, and cloud services. Applicable controls may include device encryption where supported, authentication, MFA, endpoint security, appropriate mobile-device management, remote lock and wipe where supported and configured, session and access revocation, and prompt incident reporting. Remote wipe capability depends on device management enrollment and configuration — physical recovery of the device cannot be guaranteed.

Carrier, Vendor & SaaS Risk

The agency's own technology may not always be the original source of a security or availability event. Dependencies may include insurance carriers, agency-management providers, CRM providers, quoting and rating platforms, electronic-signature providers, Microsoft 365, cloud storage, and other SaaS vendors. Edge Secure can help inventory critical providers, document dependencies, maintain escalation contacts, review applicable access relationships, review available backup and export capabilities, and incorporate vendor dependencies into recovery planning. Edge Secure does not control third-party security practices or vendor infrastructure.

Regulatory Considerations

Security & Privacy Requirements Depend on the Agency

Insurance organizations may be subject to different information-security, privacy, cybersecurity, recordkeeping, contractual, and notification requirements depending on factors such as state or jurisdiction, agency type, licenses held, lines of business, information handled, carrier relationships, size, clients, business model, and other circumstances. The content below describes applicable technical scope and boundaries — not legal, regulatory, insurance, or compliance advice.

Protecting Client Information Across the Agency

Depending on the agency and lines of business, client information may include contact information, applications, policy information, financial information, identification information, documents, communications, and other sensitive information — not every agency collects every category. Protecting client information requires applicable technical safeguards across the environment, not just inside the agency-management system. Controls may include identity security, MFA on supported accounts, endpoint security, email security, access controls, secure remote access, network security, encryption where appropriate, backup and recovery, user lifecycle management, and security monitoring.

State Insurance Cybersecurity Requirements — Where Applicable

Some jurisdictions have enacted cybersecurity or information-security requirements applying to certain licensed insurance organizations. Depending on the applicable law and organization, requirements may address areas such as risk assessment, information-security programs, access controls, incident response, third-party and service-provider risk, data protection, cybersecurity governance, event reporting and notification, and documentation. Not every state has identical requirements, and not every insurance agency is covered. Edge Secure does not determine regulatory applicability. Edge Secure can help implement and document applicable technical controls. Agencies should work with qualified legal and compliance professionals to determine their specific obligations.

GLBA & Information-Security Considerations Where Applicable

Depending on the organization, activities, jurisdiction, regulator, and information handled, GLBA-related privacy and security obligations or other financial-sector requirements may be relevant to an insurance organization. Not every insurance agency is automatically subject to identical GLBA requirements. Where applicable, Edge Secure can help implement and document technology controls involving identity, MFA, endpoint security, email security, access controls, security monitoring, vulnerability management, backup and recovery, incident-response technology, and technical documentation. Edge Secure does not certify GLBA compliance or make definitive regulatory-applicability determinations.

Carrier & Business-Partner Security Requirements

Carriers or other business partners may ask agencies about cybersecurity practices. Potential requests may involve MFA, endpoint protection, email security, access controls, security monitoring, incident response, backup and recovery, remote access, security awareness, and technical documentation. Requirements vary by carrier and business partner — Edge Secure does not guarantee carrier acceptance of a particular security response or configuration. Edge Secure can help implement and document applicable technical controls it manages.

Technical Incident Response

Edge Secure may perform or coordinate applicable technical activities such as investigating security alerts, containing affected managed systems, disabling compromised accounts, reviewing applicable logs, coordinating endpoint response, restoring systems and data, documenting technical events, and coordinating technology vendors. The agency and its qualified legal, compliance, and privacy professionals remain responsible for decisions involving whether an event legally constitutes a reportable incident or breach, client and consumer notification, carrier notification, insurance-regulator notification, state notification, law-enforcement involvement where applicable, regulatory interpretation, and legal strategy. Edge Secure does not independently make those determinations.

Third-Party Technology Risk

Agencies depend on external technology providers and carriers. Edge Secure can help the agency inventory critical technology vendors, document technical dependencies, identify access and integration relationships, maintain vendor contacts, review applicable technical security information, document available backup and export capabilities, and incorporate critical providers into disaster recovery and business continuity planning. Edge Secure does not perform complete legal or regulatory vendor due diligence unless separately contracted.

Cyber Insurance

The agency's own cyber-insurance application or policy may ask about technical controls such as MFA, endpoint protection, email security, backup, immutable and ransomware-resistant backup, security monitoring, incident response, privileged access, vulnerability management, and remote access. Requirements vary by carrier, policy, agency, and circumstances. Edge Secure can help implement and document applicable technical controls it manages. Edge Secure does not advise the agency on what cyber-insurance policy to purchase, determine coverage, interpret policy language, guarantee underwriting approval, or guarantee claim eligibility.

Technical Controls You Can Document

Edge Secure can maintain documentation of applicable technical controls including user and account inventory, managed-device inventory, MFA status on supported accounts, endpoint-security coverage, email-security configuration, vulnerability and patch status, network and security documentation, backup status, restore-validation results, recovery procedures, remote-access controls, vendor and dependency documentation, and applicable security-event documentation. This documentation may support internal governance, carrier questionnaires, cyber-insurance applications, client requirements, contractual reviews, and regulatory and compliance activities where applicable. Technical documentation does not automatically prove regulatory or contractual compliance.

Edge Secure manages applicable technology and cybersecurity controls supporting the agency's information environment. Regulatory applicability, insurance licensing, policy and coverage decisions, privacy obligations, notification requirements, legal interpretations, carrier requirements, and formal compliance decisions remain the responsibility of the agency and its qualified legal, compliance, regulatory, and insurance professionals. This section provides general technology and cybersecurity information only and does not constitute legal, insurance, privacy, regulatory, financial, or compliance advice. Requirements vary by jurisdiction, agency type, licenses, information handled, carrier relationships, business model, and circumstances.
